Services Terms and Conditions

  1. Pay for Nannies is a trading name of Accounting Freedom Ltd and will act as the Payroll Service Provider on your behalf only. Pay for Nannies does not form part of any employment arrangement between you and your nanny(ies) and is therefore not responsible for fulfilling any statutory obligation or making any payments required by statute that may arise as a consequence of the relationship between you and your nanny(ies).
  2. Pay for Nannies will provide payroll services to you on a weekly, fortnightly or monthly basis depending on the pay cycle of your choice as agreed with your nanny (ies).
  3. This agreement between you and Pay for Nannies is open-ended and will run indefinitely. The agreement will cover up to 3 employees being paid during any fiscal year. For the purpose of this contract, our annual charges will cover the fiscal year period from 6th April to 5th April.
  4. If Pay for Nannies are taking over from a previous provider during the fiscal year, our annual charge may be pro-rata'd provided no extra work is needed to bring the payroll up to date. If, however Pay for Nannies are taking over and there are substantial backdated employment liabilities to be calculated, our charges will be backdated to the start of the fiscal year in question. Where the backdated period is over twelve months, Pay for Nannies will need to make additional charges. These will be agreed prior to the commencement of the work.
  5. Pay for Nannies charges are payable annually in advance. Pay for Nannies services will not commence until such payment has been received, Thereafter, Pay for Nannies charges will be renewed at the beginning of subsequent fiscal years.
  6. Pay for Nannies will only process the payroll upon receipt of written confirmation of the payroll details for any given processing period, i.e. weekly, fortnightly or monthly. The information can be sent to Pay for Nannies via e-mail, fax, on line on our website or post. No verbal instructions will be accepted unless they are immediately followed up in writing.
  7. The information for payroll processing must reach Pay for Nannies at least 4 (four) hours prior to the agreed payment deadline to your nanny. For instance, if your nanny is paid every Friday, Pay for Nannies must receive your instructions no later than 9am on the Wednesday.
  8. Pay for Nannies will make unlimited amendments to your current payroll free of charge. However, if you require amendments to previously processed payslips, an additional charge may apply at Pay for Nannies discretion. This additional charge will be payable on top of the normal annual charge.
  9. Pay for Nannies will provide you with weekly, fortnightly or monthly compliant payslips. These can be electronic in a PDF format or printed.
  10. Pay for Nannies can process a free contract of employment and any necessary amendments if required.
  11. Pay for Nannies reserves the right to alter the annual charge fee at any time, but will give you prior warning.
  12. If your particular circumstances change and this results in an increased amount of work, Pay for Nannies, reserves the right to review its annual fee to cover the additional work.
  13. If you no longer require the services of Pay for Nannies before the end of the fiscal year, you will not be entitled to a fee refund. This policy of non refund is in place to take into account the work that still needs to be done on your behalf, namely to file statutory tax year-end returns, P35's and P14's and to communicate with HMRC until your PAYE scheme is closed down.
  14. In the event of a dispute arising between you and your nanny, Pay for Nannies will act on your instructions. Note, however, that Pay for Nannies cannot withhold information from a nanny who has, in any event, the statutory right to access information held about their PAYE records. Pay for Nannies also reserve the right to advise you as a client, if your proposed course of action in any dispute is in breach of your statutory obligations as an employer, and refuse to carry out any such instructions from you if this is the case.
  15. Pay for Nannies will not be held responsible for any HMRC penalties or interest charges that may arise as a consequence of failure on your part to make Income Tax and National Insurance Contributions liability payments due by dates notified to you either by Pay for Nannies or by HMRC. Likewise, Pay for Nannies will not be held responsible in case you fail to make information available to Pay for Nannies, which would affect or delay the submission to HMRC of statutory returns by the due dates.
  16. Pay for Nannies will not be held responsible for HMRC penalties or interest charges which may arise as a result of employment arrangements prior to you appointing Pay for Nannies as your payroll service provider.
  17. Pay for Nannies reserves the right to amend and re issue the terms and conditions under which it provides its service as a result of changes in UK or European Union tax or employment law. You will be notified in advance of any such changes to the terms and conditions that may affect you.
  18. Pay for Nannies will not be held responsible and will not accept any liability for errors that may occur during the time it provides payroll services to you, and /or after the end of a your appointment of Pay for Nannies as your payroll service provider with respect to carrying out the payroll provider service pertaining to end of year returns and all relevant forms, together with any liaison with HMRC on your behalf.
  19. Pay for Nannies will not be held responsible or accept liability for any loss or damage, direct or indirect, arising as a result of any advice given to you by Pay for Nannies or the services of any other organisation introduced to you by, but not within the control of Pay for Nannies.
  20. Pay for Nannies guarantees a strict duty of confidentiality and will not disclose information held by it to any person without your written consent, unless obliged to do so by law.
